TERMS OF SERVICE

1. Our Services

OnTime Nashville LLC provides private chauffeur and transportation services in Nashville, Tennessee, and surrounding areas. Services include airport transfers, hourly chauffeur bookings, weddings and special events, corporate transportation, and long-distance trips. All reservations are subject to vehicle and driver availability.

2. Reservations and Payment

Full payment is required to confirm a reservation unless another arrangement has been approved by OnTime Nashville LLC. Customers must provide accurate pickup and drop-off locations, contact details, flight information when applicable, and any special requests. The total price and applicable fees will be presented before the reservation is finalized.

3. Cancellations and Refunds

Customers who cancel at least 24 hours before their scheduled pickup qualify for a full refund. Cancellations made less than 24 hours before pickup may be non-refundable under the cancellation terms disclosed at booking. Refund processing times depend on the payment provider or financial institution.

4. Rescheduling and Changes

A $30 rescheduling fee applies when a customer requests a change to a confirmed reservation. All rescheduling requests are subject to vehicle and driver availability. Changes to the pickup location, destination, route, additional stops, or service duration may result in additional charges. A change is not confirmed until approved by OnTime Nashville LLC.

5. Airport Pickups and Airport Fees

Airport transportation reservations may include an airport-related fee in addition to the transportation price. The applicable airport fee will be disclosed during booking or before payment is completed.

Airport pickups include 30 minutes of complimentary waiting time. Additional waiting charges may apply after this period, as disclosed in the booking terms. Customers should provide accurate flight details and remain reachable by phone after landing.

6. Driver Gratuity

A 20% driver gratuity will be added to the applicable transportation charge. This gratuity is intended to compensate the chauffeur for providing the service and will be shown as a separate line item or clearly identified in the booking price before payment.

7. Payment Processing Fee

A 4.7% payment-processing fee may be applied to eligible transactions where permitted by applicable law and payment-provider rules. The fee and its calculation basis will be disclosed before payment. If the fee is not permitted for a particular payment method or transaction, it will not be charged.

8. Cleaning Fee and Vehicle Damage

Customers are expected to leave the vehicle in reasonable condition. A $160 cleaning fee may be charged when a passenger or member of their party causes excessive mess or contamination requiring cleaning beyond normal vehicle care, including smoking-related residue, bodily fluids, significant spills, or similar conditions.

Customers may also be responsible for reasonable repair costs for vehicle damage caused by them or their party, where permitted by law. Any cleaning or damage charge must be reasonably supported by the circumstances and associated costs. The cleaning fee is not intended to replace a separate, legally recoverable damage claim.

9. Additional Stops, Waiting, and Extended Service

The confirmed price covers the itinerary and service duration agreed upon at booking. Additional stops, extended waiting, extra mileage, route changes, or service beyond the reserved time may incur additional charges. Applicable charges will be communicated before the additional service is provided whenever reasonably possible.

10. No-Shows and Failed Pickups

Customers must arrive at the agreed pickup location and remain reachable using the contact information provided. If a passenger does not appear or cannot be reached after the applicable waiting period, the reservation may be treated as a no-show. No-shows may be non-refundable under the cancellation terms disclosed at booking.

11. Passenger Conduct and Safety

Passengers must behave respectfully and follow applicable safety requirements and reasonable driver instructions. Smoking, unlawful activity, threatening behavior, harassment, or conduct that creates a safety risk may result in service being refused or ended. Refunds, if any, will be handled according to the booking terms, circumstances, and applicable law.

12. Child Safety and Special Requests

Customers traveling with children must comply with applicable child passenger safety laws and communicate car-seat or other special requirements before booking. Any child-seat arrangements must be confirmed in advance. Special requests are subject to availability unless expressly confirmed.

13. Delays, Weather, and Unforeseen Circumstances

Traffic, severe weather, road closures, accidents, flight disruptions, and other circumstances beyond our reasonable control may affect pickup or arrival times. OnTime Nashville LLC will make reasonable efforts to communicate significant delays. Exact arrival times cannot be guaranteed. If the company cannot provide a confirmed service because of a vehicle or operational issue, it will communicate available alternatives or any applicable refund.

14. Liability

OnTime Nashville LLC will exercise reasonable care in providing transportation services. To the extent permitted by law, the company is not responsible for indirect losses, missed appointments, missed flights, or other consequences arising from delays or circumstances beyond its reasonable control. Nothing in these Terms excludes or limits liability where doing so would be unlawful.
